Privacy Policy

Effective Date: August 1, 2026

San Jose Catering Company ("San Jose Catering Company," "we," "our," or "us") takes the handling of your information seriously. This Privacy Policy describes what we collect, why we collect it, how it is used and shared, and the choices available to you when you browse our website, request a catering estimate, place an order, use our client portal, or contact our team.

Who this policy covers

This policy applies to visitors and clients who interact with our website and catering services across San Jose, Santa Clara, Sunnyvale, Cupertino, Campbell, Saratoga, Los Gatos, and the surrounding South Bay. It covers our public website pages, quote and contact forms, order checkout, client portal, email and text correspondence, and phone conversations related to your event.

Information you give us

Most of what we hold is information you provide on purpose so that we can plan and deliver your event, including:

  • Your name, company or organization, email address, and phone number
  • Event details such as date, guest count, venue address, service style, and timing
  • Menu preferences, allergies, and dietary or cultural requirements
  • Billing and delivery addresses
  • Notes, messages, and attachments you send us through forms, the portal, email, or text

Information collected automatically

When you visit the site, our servers and analytics tools may record technical details such as your IP address, browser type and version, device and operating system, referring page, pages viewed, time spent, and general geographic region inferred from your IP address. This information helps us understand how the site performs and where visitors run into trouble.

Payment information

Catering payments are processed by third-party payment providers. Card details are tokenized and handled by those processors under their own privacy and security practices; we do not intend to retain full card numbers on our systems. We do keep transaction records such as amount, date, payment status, and the last digits of the card for accounting and dispute purposes.

How we use your information

We use the information described above to:

  • Prepare estimates, quotes, and catering agreements
  • Plan, staff, source, and deliver your event
  • Communicate about timelines, menus, headcounts, deliveries, and changes
  • Process deposits, invoices, refunds, and credits
  • Provide access to and support for the client portal
  • Follow up after an event and, where permitted, share promotions or seasonal menus
  • Maintain records, resolve disputes, prevent fraud, and comply with legal and tax obligations
  • Improve our website, menus, and service based on aggregate usage patterns

Cookies, analytics, and advertising technologies

Our site uses cookies and similar technologies for essential functions such as keeping your cart and portal session working, plus analytics and, at times, advertising measurement. Depending on your browser and settings, these tools may set identifiers that help us measure traffic sources and conversions. You can clear or block cookies in your browser settings, though some features of the site — carts, forms, and portal logins — may stop working properly if you do.

When we share information

We do not sell your personal information for money. We do share it in limited, purpose-driven circumstances:

  • Service providers. Hosting, email delivery, text messaging, payment processing, analytics, scheduling, and customer support platforms that operate on our behalf.
  • Event partners. Venues, rental companies, floral partners, and staffing partners who need logistics details to execute your event.
  • Legal and safety. When required by law, subpoena, or regulation, or to protect the rights, property, or safety of our clients, staff, or company.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

Some privacy laws define "sale" or "sharing" broadly enough to include the use of advertising or analytics cookies. Where that applies, you may opt out as described below.

Text messages and email

If you give us your phone number, we may text you about quotes, deliveries, and day-of logistics. Message and data rates may apply. Reply STOP to opt out of non-essential texts, or UNSUBSCRIBE via the link in our marketing emails. We will still send operational messages tied to an active order unless you ask us to stop entirely.

How long we keep information

We retain event, order, and payment records for as long as needed to serve you and to meet accounting, tax, insurance, and legal requirements. Inquiry records for events that never booked are kept for a shorter period. Portal messages and uploaded files are periodically purged after an event closes.

Security

We use reasonable administrative and technical safeguards, including encrypted transport, access controls, and restricted internal permissions, to protect the information we hold. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive identifiers such as Social Security numbers through our forms or email.

Your choices and rights

Depending on where you live, you may have the right to:

  • Know what personal information we collect, use, disclose, or share
  • Request a copy of that information
  • Request deletion of your information
  • Request correction of inaccurate information
  • Opt out of the sale or sharing of personal information, including certain advertising cookies
  • Limit the use of sensitive personal information
  • Be free from discrimination for exercising these rights

To exercise any of these, contact us using the details below. We may need to verify your identity or your authority to act for someone else before we act on a request.

California residents

If you are a California resident, the California Consumer Privacy Act, as amended, may give you the rights listed above regarding personal information we collect about you. Categories we typically collect include identifiers, commercial information about your orders, internet activity from our site, geolocation inferred from IP address, and the event details you share with us. We collect this to provide catering services, communicate with you, process payments, and maintain records. You may submit a request by email or phone using the contact details in this policy, and you may authorize an agent to submit a request on your behalf.

Children

Our services are directed to adults planning events. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us and we will delete it.

Third-party websites

Our pages may link to venues, review platforms, payment processors, social profiles, and other outside services. We do not control those sites and are not responsible for their privacy practices. Review their policies before submitting information to them.

Changes to this policy

We may update this Privacy Policy as our services, tools, or legal obligations change. When we do, we will revise the effective date at the top of this page. Continued use of our website or services after an update means you accept the revised policy.
